Thanks to idloom-events’ check-in feature, training organizers can simply scan participants' QR codes/e-tickets at the gates via a mobile portal compatible on all devices: smartphones, tablets, computers...

Here’s a comprehensive step-by-step guide on how to proceed from any device.

 

Training event check-in

From your mobile device, open your web browser (Chrome recommended) and log in to your idloom-events account. From your events’ list tab, select “check-in” from the drop-down menu of the training you want to begin check-in for.

You’ll then access the check-in page, where you’ll be able to check in guests by simply scanning their QR codes displayed on their confirmation emails / e-tickets.

If a guest doesn’t have a QR code to display – they may have forgotten to bring their ticket, deleted the email, or you simply chose not to send out QR codes to participants… – simply enter his/her name in the “Search guest” field to check them in.

For each check-in, the system will display the check-in status (Check-in OK – Already checked-in – Warning: Not paid – Cancelled - Rejected) as well as all relevant guest information. All information will be synced with the platform in real time.

If you wish to check your guests out of the event, simply flip the check-in / check-out switch and start scanning again for check-out.

In the backend’s guest list, you will see for each guest whether he/she is checked-in or not, as well as each attendees’ check-in and check-out times if you checked them out of the event.

You can export this data in xls (available from the guest list export), or analyze it from idloom-events integrated statistics dashboard.

It’s as simple as that !

Note that this works on any mobile device, whether smartphone, tablet, or phablet, operating under any mobile OS: Android (Android Market), iOS (AppStore), Windows, BlackBerry, etc. Checking-in guests can of course also be done from a regular computer. 

Only requirement: having access to the internet.

How it works

  • From the event’s guest list, open the “More actions” menu from the top right corner, and select “Print badges”
  • Select the badge format you desire, click next
  • Name your badge and select “Create”
  • Edit the fields you would like to see displayed
  • Select the background image/logo and the colour
  • Once your badges are created, select “Print badges” from the top right “More actions” menu

Idloom-events will then generate a pdf file containing all the badges adjusted to your specifications.

Creating different badge types for guests of a single event

  • From the badge editing page, select “New badge type” to add as many badge types as you need
  • Configure your different badge types with different colours, backgrounds, fields…
  • To filter guests for each badge type, click on the badge type from the badge list on the left of your screen, click on the blue arrow and select “Filter guests” from the drop-down menu
  • Filter guests for each badge type by category, option, participation type, salutation, or company category
  • Once you’re done, select “Print badges” from the top right “More actions” menu to generate the pdf files containing all badges according to your specifications.

Printing one badge at a time

Late registration or a modification that needs to re-print one badge? Nothing easier:

  • Find the guest in the guest list or using the integrated search engine
  • Select “print guest badge” function from the “more actions” button
  • Print the badge.

The system will go through the different badge types you’ve configured to find the corresponding template and prepare a single badge document. If haven’t configured the badges or if no badge template is configured for the selected guest, the system will return a 404 page not found error. In that case, check your badge configuration or guest details and try again.

 

All you have left to do is print out the document, cut out and prepare the individual badges, and you’re good to go!

Idloom-events seamlessly integrates with any online meeting provider (Webex, Zoom, Whereby, Jitsi, etc.) and handles all registration, payments, connections, check-ins and statistics to these meetings in a user-friendly and secure environment.

Step by step set up:

  • Create your event and set up as many online locations (Webex, Zoom, Whereby, etc.) as you need, with for each the associated time zone (you might have one session in Paris, the other in Dallas)

  • Create your categories and options as usual, with all your online meetings and associated time slots (with the multi-sessions activated)
  • For each option (and/or category), link an online location

Link your online meeting room to categories and options

  • Registrants select their options as with any other event
  • In their confirmation emails, there are links to each of the online events/meetings/sessions they have registered for, as well as links to add these sessions to their calendars (in the right time zones)

Join the online meeting from your confirmation email

  • By clicking on these event links, you will be redirected to an idloom countdown page (branded with your logo and colors of course), where you’ll see a countdown until the event begins

  • If the participant cancelled or got rejected by the organizer for some reason, he/she will not be able to access the meeting

Manage guests and access to the online meeting

  • Once the countdown ended, the page will automatically refresh, and the participant will enter the meeting
  • In your backend, idloom records a check-in for each participant that has accessed the online event, as it would be the case with a physical event. All check-ins will be seen in the statistics dashboard and are exportable.

Note: participants don’t see the meeting URL, only the login page’s. Idloom has developed the login page to make sure that only registered guests actually access the online room.

Of course, all the amazing features offered for physical meetings are still applicable to online meetings: group registration, multilingual, session & track management, time-zone management, check-in…

As you can see, setting up and managing online events with idloom is as easy as 1-2-3 !

Trainer - training in other countries

Is it possible for a trainer to train in other countries, other then the trainer is registered in as a legal entity in the platform?

If you are registered as a Trainer in a country (e.g. registered in Germany for a legal entity) you can give training to employees in Austria or other countries to the legal entity without registering again. The trainer can give the training via video conference or as f2f. The billing of trainees will be handled via the registered legal entity in the country of registration.
